What
is the difference between Active Agent for Outlook and the
other Outlook Add-ins for Real Estate?
Without
going into the feature by feature details the main difference
is in the approach and and objective of the software.
What we have done with Active Agent for Outlook is leverage
what MS Outlook does very well and add in real estate
specific features and functionality. What you will find
in the majority of the other systems is they tried to
make MS Outlook look like one of the other proprietary
systems (e.g., TP or AO).
The major benefit with our approach is that when you install
Active Agent for Outlook, Outlook still looks and works
like Outlook. What you will find when you install the
other Outlook add-ins for real estate they tend to modify
Outlook to look completely foreign; hence loosing one
of the major benefits of using an Outlook based solution,
ease of use and easy to climb learning curve.

Form, I get an error
How
can I share my AAOutlook Data with others?
- To enable sharing of data you will need to look at
one of two possible approaches, Outlook Sync
product or an Exchange server (hosted or dedicated).
There are recommendations on such products on our website
under products-companion products.
The Sync approach will allow you to
specify what folders (contacts, calendar, etc) that
you want to share and it will monitor those folders
on the two machines and send changes back and forth.
The Exchange server approach in your
case would be a hosted Exchange server where you pay
a monthly fee (~7/month-mailbox) to have a third party
host your Outlook data (you data is also stored on your
local workstation in case you cannot connect to the
server) and you can specify any of the folders to be
available to the other person with any level of access.
What syncs is the data in the forms, in other words
the data in all the fields on the contact, property,
campaign and activities forms.
What does not sync is:
- The dropdowns for contact type, status, preferred
contact, source, follow-up and Mr/Mrs/Etc
- The user field labels
- The images of the properties will not sync as
they are just referenced and not stored in the item.
- Merge templates
- My Merge data (setup in the admin functions-options
and stored in an MDB local)
- Goals (stored in an MDB local)
- Any bookmarks in the help file
- The applied campaign activities will sync, however
keep in mind that the merge docs are local so if
it references a merge doc that must also be on the
destination machine.

What
versions of Outlook has AAOutlook been certified??
- AAOutlook
has been developed and tested on version 2000 (9.0.0.7119
SP3), 2002 (10.6515.6626 SP3) and 2003 (11.6359.6360 SP1)
of Microsoft Outlook®. It is recommended that you
be at these versions or later to run AAOutlook.

I cannot get my Outlook
2000 to version to 9.0.0.7119
I do not see
the new versions of the forms.
My Toolbar is not loading or
does not function
- When the toolbar disappears it is generally something
simple. Such as:
- (Most common) When you closed Outlook it did not
close completely and therefore when it restarted the
toolbar did not get initialized. To check for this
condition close Outlook and go to the task manager,
select the processes tab and look for OUTLOOK.EXE,
if you find it end it and restart Outlook
- (least common) Outlook disables the addin. To check
for this condition do the following: from Outlook:
Help-About MS Outlook-Disabled Items; if REMScore.dll
is listed enable it and restart Outlook.

When you click
on a property in the Real Estate Contacts' Properties tab
nothing happens.

- To uninstall Active Agent for Outlook do the following:
- Go to Add/Remove Programs and remove Active Agent
for Outlook
- If you need to convert contacts back run this
applet.
- If you get a message about redemption when you
restart Outlook: Go to tools-options-other-advanced
options-Addin Manager and remove Redemption.

I see blank lines at the top of
my address cards, how do I get rid of them?
- The blank lines may be property records. Since the
property records do not use the native Outlook contact
form the standard Outlook views do not know how to display
them. The are two things you can do to clean up the
view:
Filter the properties out of the view:
1. Select the View menu, then Arrange By - Current
View - Customize Current view
2. Select the filter button
3. On the filter window select the advanced tab
4. In the box below the Field button (see below) type
Message Class, in the condition drop down select contains
and in the value enter contact; then click Add to
List
5. Click OK and then OK
This will filter the address card view to show only
contacts.
-OR-
Add descriptive info to the view for the property:
1. Select customize current view (either under view-current
view-arrange by or view-arrange by, depending on the
version of Outlook)
2. Click on fields and look in the user defined fields
for the field Location Address, if you cannot find
it add it as a new field
3. Add "Location Address" to the list of
fields
This will add the Location Address to the view for
you.

Can I modify the forms?
- You cannot modify the forms. There are two main reasons
why we do not open the forms for changes, 1) some of the
controls on the form require development licenses, so
if you would make a change it would not be possible to
re-publish the form without that development license.
2) when we deploy updates we overwrite the forms, and
your changes would be overwritten.

My Real Estate Contact are not
Syncing to my PDA
- If you are using a PocketPC/Windows Mobile PDA or using
a Palm PDA with Pocket Mirror to sync then you will need
to keep your real estate contacts in the main contact
folder since they do not support contact sub-folder. If
you want to keep your contact in the sub-folder(s) and
have a PocketPC you can look at Chapura's
Pocket Mirror Professional for Windows Mobile (Sonoma
Enterprises does not endorse or support Pocket Mirror).
If you wish to keep you contact in sub-folders and have
a Palm based PDA then you will need to look at a full-featured
sync program such as Chapura's
KeySuite (Sonoma Enterprises does not endorse
or support KeySuite).

How
do I print spouse info on my letters/labels?
The easiest way to get the letters to be addressed as Dear
John and Jane Doe is to open the merge document and add
an address block field. To do this do the following:
1) Open the merge document and show the mail merge toolbar
2) Position your cursor where you want the field and click
on the address block button on the mail merge toolbar
3) Select the format for the name you want, uncheck the
company name and address options, then click on Match fields
to make sure the First Name, Last Name and Spouse First
Name are correctly matched.

4) Once the selections are made click OK and the field will
be added to the document.
Using this method versus statically setting the salutation
field will give you full control on how the name appears
in the document.
